How Many Employees Should I Schedule Each Shift at My Daycare Center?

Let me tell you what actually happens when daycare directors try to figure out how many people to schedule. They guess. Usually based on "what we did last week" or "whoever showed up." That's expensive and dangerous. You're one ratio violation away from losing your license.

Here's the blunt math: Staff needed for a shift = that shift's average gross profit / your agreed-upon gross-profit-per-staffer target. Stop making this emotional. Sit down with your leadership and agree on one number. I call it $160 a day in a market where tuition runs $1,000 to $1,600 per child per month.

That's the gross profit an average teacher or aide should support.

Now pull each room's trailing three-to-six-month gross profit by day. If your toddler and preschool rooms together clear $640 on a typical Wednesday, that's $640 / $160 = 4 staff on the floor. Simple division.

Then overlay your state's ratio rules — commonly 1:4 for infants, 1:6 for toddlers, 1:10 for preschoolers — and staff to whichever number is higher. Money math or legal floor. No exceptions.
